In the challenging scenario of document management in the public sector , this sanitation company faced significant obstacles related to document storage and management, especially those originating from legacy documents that had not yet been digitized. In order to overcome these challenges, the administration sought an efficient solution and found success through the partnership with Arquivar.
The mobilization service began in February, motivated by the need to belgium mobile database archive legacy documents that had not yet been digitized. The existing structure for storing these documents proved to be inadequate, in addition to not having an effective document management system for this type of material.
The client responsible for the initiative shared the government’s expectations when hiring Arquivar. With a need to archive 4,400 containers, the plan is to digitize 2,000 of them by the end of March. The company thus seeks to deal not only with the significant volume of legacy documents, but also to improve the security and efficiency in managing these records.
Implemented Solutions: Digitalization and Document Management Project
To address these challenges, a document management process was implemented that involved the digitization and microfilming of documents, along with the adoption of ArqGED software. This system allowed for effective control of documentation and procedural information in various sectors, such as registration, human resources, finance, billing and accounting.
